1. Information We Collect

We collect information you provide directly when using Fixmark:

• Account info: email address used for authentication
• Property data: property names, addresses, unit identifiers
• Maintenance records: request descriptions, categories, status, costs, vendor assignments, and activity logs
• Photos: images uploaded with maintenance requests
• Tenant submissions: information tenants provide through request links, including optional name, phone, and email

2. How We Use Your Information

• To provide and maintain the Service
• To authenticate your identity via email magic links
• To send transactional emails (login links, request notifications)
• To generate exports and reports you request
• To improve the Service based on usage patterns

We do not sell your personal information. We do not use your data for advertising purposes.

3. Data Storage & Security

Your data is stored in a PostgreSQL database hosted on infrastructure with industry-standard security measures. Photos are stored using Amazon S3 with access controlled via presigned URLs. All data is transmitted over HTTPS. We use email-based magic link authentication — no passwords are stored.

4. Data Sharing

We do not share your information with third parties except:

• Service providers: we use Resend for email delivery and AWS for file storage, which process data on our behalf
• Legal requirements: if required by law, regulation, or legal process
• With your consent: in any other circumstances with your explicit approval

5. Tenant Data

When tenants submit maintenance requests through unit links, the data they provide (issue description, photos, optional contact info) is associated with your account and visible to you as the property manager. Tenants are not required to create an account. Contact information provided by tenants is optional and stored only for your reference.

6. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your data within 30 days, except where retention is required by law. You may export your data at any time using the CSV export feature.

7. Your Rights

You have the right to:

• Access and export your data at any time
• Request correction of inaccurate data
• Request deletion of your account and data
• Withdraw consent for optional data processing

8. Cookies

Fixmark uses essential cookies for authentication sessions and theme preferences. We do not use tracking cookies or third-party analytics cookies.

9. Changes to This Policy

We may update this privacy policy from time to time. We will notify you of material changes via email. Continued use of the Service after changes constitutes acceptance.
